For phone conferences you can use one of our Polycom "Soundstation"
units. One of them is permanently installed in the Video Conference
room, the other one is kept in the safe in that room and can be used
anywhere. The portable one should be booked out using the same booking
system as for the main room, selecting "Telephone" from the list of
rooms. The phones are large
roughly triangular lumps of dark grey plastic. The one in the video
suite sits on the table, and
has an associated power supply. If it is not
already set up, plug it into the mains, and connect the phone jack to
the socket on the wall (right hand corner of the room when you come in
the door). The figure below shows the keys you need to use.
To start dialling press the On/Off key - this is like picking up the
handset on a normal phone, you should hear a dialling tone. Dial using
the numbered keys as usual.
To hang up press this button again, which is the equivalent of putting the handset
down on a normal phone.
To mute yourself press the Microphone Mute key.
This means you can not be heard and is generally a good idea
when you are listening to other people speaking.
The red LEDs on the unit will flash when the
unit is muted. The phone number of the video conference room is
01524 594526 in the UK or 0044 1524 594526 from abroad, assuming (00 is
the international dialling code).

There is no fixed policy on conferencing, it is up to the dept/individuals to use whatever supplier they want. Intercall was initially used as it was a far cheaper option than BT, but as ever things move on with other telephone conference service providers emerging all the time:
